1. Who we are

This Privacy Policy describes how Joshua Efiakpowore (Kaizen Ambient Medical Scribe) (“KAMS”, “we”, “us”) collects, uses, stores, and protects personal information when you use the Service at getkams.com and related applications.

2. Information we collect

Depending on how you use KAMS, we may process:

• Account details — name, email address, professional profile, clinic or practice information you provide
• Usage and product data — notes generated, features used, timestamps, trial and credit balances
• Documentation content you submit — text or speech-derived input, drafts, patient details and notes you enter or save while using the product
• Payment-related data — handled by processors such as Paystack; we do not store full card numbers on our servers
• Technical data — information needed for security, abuse prevention, reliability, and support (for example approximate IP address and browser/user-agent where required)

Health-related content is only collected when you use documentation features (for example recording or pasting a consultation and generating or saving a note).

3. How we use information

We use information to:

• Provide, maintain, and improve the documentation Service
• Generate draft clinical notes and related outputs from the input you supply
• Process payments and manage access, trials, and credits
• Send essential communications (security, account, billing, and support); marketing only where you have opted in
• Protect the Service against abuse and unauthorized access
• Meet legal and regulatory obligations

We do not sell personal data. We do not use your patient documentation content to train general-purpose foundation models without your explicit agreement.

4. Sharing

We may share information only as needed to operate the Service:

• Infrastructure and processors — hosting, database, AI inference, and payment providers under arrangements limited to delivering the Service
• Authorities — when required by applicable law or valid legal process
• You — when you request access or export, subject to verification

We do not share identifiable patient documentation for third-party marketing.

5. Security

We apply technical and organizational measures appropriate to a professional documentation product, which may include:

• HTTPS encryption in transit in production
• Encryption at rest for clinical stores when encryption keys are configured
• Authentication and access controls
• Audit logging of important account and clinical actions
• Rate limiting and other abuse-prevention controls

6. Your rights

Subject to Nigerian data protection law, you may request to:

• Access personal data we hold about you
• Correct inaccurate information
• Request deletion, subject to legal retention duties (including billing or record-keeping where applicable)
• Withdraw consent where processing relies on consent
• Lodge a complaint with the Nigeria Data Protection Commission (NDPC) or successor authority

7. Retention

We keep account and service data while your account is active and as needed to run the product, secure the platform, resolve disputes, and comply with law. If you request account deletion, we remove or anonymize data we no longer need, except where retention is required or permitted by law.

8. Patient data and roles

You decide what patient information enters KAMS. You are responsible for lawful basis and consent for that processing under rules that apply to your practice.

In typical use, you (or your healthcare organization) determine the purposes of processing patient data, and we process that data to provide documentation features as you use them. Confirm roles with your own counsel if you deploy KAMS in a multi-user or enterprise setting.

9. Breach notification

If we become aware of a personal data breach affecting the Service, we will assess the risk and notify affected users and, where required, the relevant authority, in accordance with applicable Nigerian law and within required timeframes.

10. International processing

Infrastructure providers may process data in or from locations outside Nigeria. Where that occurs, we take steps consistent with applicable law to protect the data (for example contractual and technical safeguards offered by those providers).

11. Changes to this policy

We may update this Privacy Policy periodically. The effective date and version at the top of this page will change when we do. For material changes we may also notify you by email or in-product notice. Continued use after the effective date of an update constitutes acceptance where permitted by law.
